The timelines are based on one creative, and submitting additional creatives may necessitate increasing review time. Note also that the review process will restart whenever new content or imagery is added between rounds. Prioritization will be given to marketing materials during peak times of the year.

How do I submit opt-ins and carrier approval screenshots?

Opt-ins/carrier approval screenshot should not be submitted through the intake form. Instead, open the corresponding creative in Ziflow and leave a comment with the opt-ins attached to that specific creative.

Why did you add JM to the SMID?

Per CMS regulations, an SMID can only be submitted once to HPMS. To enable Juiced to submit the content, we will append "_JM" into the SMID.

How long does it take to get a creative approved?

The approval timeline can vary depending on the responsiveness, time of year, and whether carrier approval is required. During peak periods, such as the AEP season, approvals do tend to take longer. To help ensure a smooth and timely approval process, we recommend reviewing the relevant handbook pages and federal regulations before submission to prevent rejection, promptly addressing any compliance questions, and uploading updated versions within the 4-business-day SLA. Your cooperation is greatly appreciated in helping us move things along as efficiently as possible.

Why is Compliance not answering my comment?

Compliance works on a first-come, first-served basis, including any outstanding comments. During peak periods, such as the AEP season, response times may take up to 4-5 business days. We appreciate your patience and understanding as we work to address all comments as quickly as possible.

How does this process work?

The process depends on the creative type:

Marketing:

First, you review the applicable handbook pages and federal regulations, making any necessary updates. Once updates are complete, you submit the materials to Ziflow using the intake form. Compliance will then review to ensure all regulations are followed. If the regulations are not met, the creative will be rejected. If everything complies, it will be submitted to the carriers for review and approval. The carriers will either approve the creative or provide feedback. Once we receive all responses, we will share the information with you. If changes are requested, you must make the necessary adjustments within the SLA time frame and resubmit a new version using the intake form. We will confirm that all requested changes were made. If they were not, we will ask you to make those changes and submit a new version. Once the changes are made, we will resubmit to the carriers for a second round of review and approval. After all carriers approve, we can submit to HPMS. We will notify you once HPMS accepts the creative.

Communications:

First, you review the applicable handbook pages and federal regulations, making any necessary updates. Once updates are complete, you submit the materials to Ziflow using the intake form. Compliance will then review to ensure all regulations are followed. If the regulations are not met, the creative will be rejected. If everything complies, it is approved.

How often do creatives have to be reviewed?

Creatives must be reviewed each Medicare season (AEP, OEP/SEP) unless you are given approval to use a creative year round. If you are given approval to use a creative year round, Juiced will still have to approve the creative at least once a year.

Does having approvals from the carriers make the review process quicker?

The approvals are helpful to get creatives through the process, however each round of review will take a minimum of 20 business days regardless of whether or not you have approvals. If you are working directly with the carriers, please wait to submit until you have the approvals or opt-ins. If you are getting opt-ins you will need to have UHC and Humana before submission.

Should I wait to submit my creatives if I am already working directly with carriers on reviews?

Yes, please wait until you have the approval or opt-ins. If you are getting opt-ins you will need to have UHC and Humana before submission.

What if I submit creatives after the deadline?

Depending on the number of creatives under review at the time, there is a chance we will unfortunately have to deny creatives after the final submission date listed above as we will not be able to get them approved in time. Additionally, the quicker creatives are submitted the higher up on the review priority list the creatives will be.

What if I use a creative that was not approved by Juiced?

Pursuant to our Lead Purchase Agreement, Juiced reserves the right to not pay for calls or leads from non-approved creatives. Do not use unapproved creatives.

Can I send Juiced warm transfers?

No, Juiced does not accept warm transfers within our Medicare division. All call transfers must be cold transfers and all scripts must end with "1.) I am going to make an inbound call on your behalf; do I have your approval to do so? 2.) Thank you, I am now placing that call for you. You may hear some brief music; however, a representative will be on the line shortly to assist you."

How do I get an SMID code?

For communication materials, Juiced will provide this after the creative has been approved. For marketing materials, Juiced will provide this prior to sending the creatives to the carriers so that it can be added to the creative prior to the carrier reviews.

How long do video ads take to get approved that have plan specific benefits listed?

The timeline varies, however, after the carriers approve the storyboard, there is an additional 45-day review by CMS (45-day CMS review is only for Marketing materials). For communication videos, we will still have to review the storyboard with our carriers before use. The 20-day carrier reviews apply to both communication and marketing videos. We cannot use the creative until it's been approved by both the carriers and CMS. This applies to video ads on TV and online (i.e. social ads, YouTube ads, etc.).

Can Juiced provide screenshots of carrier opt-ins after creatives have been approved?

For marketing materials, yes. Marketing materials will be the only creatives that have carrier opt-ins as those are the only creatives that have to be filed with CMS. If you receive approval from Juiced and the SMID we gave ends with "_C" that means it was deemed "communication" and will not have carrier opt-ins as it was not filed with CMS. If the SMID ends with "_M" that means it was deemed "marketing" and we will have carrier opt-ins.

What if I don't make changes to my creatives within 4 business days?

The creative(s) will be archived in our review system and the partner will have to start over on reviews. This will move the creatives down in our priority list. We have implemented the turnaround times to ensure that creatives that are under review are continuing to move through the review process and do not get lost in the process.

Can I use creatives that my company does not own and operate?

No. We will not be accepting any aggregated sources.

What if I make changes to my creatives after it was approved by Juiced?

If any changes are made after the creative is approved, the creative will no longer be considered approved by Juiced and will have to go through reviews again.

Am I allowed to use ads that have images with text in the image?

Yes, however we will need to see every variation of the ad (i.e. each individual image). Ads that have images with words will require individual SMID codes so we have to review them separately.

What does it mean if my creative is rejected when I submit in Juiced's creative review and proofing system?

This means that the creative you submitted did not meet the standards for review or was submitted incorrectly. If your creative is rejected, please re-review your creative against this memo and ensure that you are following the submission rules provided on the submission form.
