Ziflow Intake Form Guide

We're thrilled to announce that Juiced has launched a new intake form designed to streamline our processes and help get your creatives approved and live even faster!
To make the most of this new system, please take a few moments to carefully review the instructions below for submitting creatives through Ziflow. Filling out the intake form accurately and completely is the key to ensuring a smooth and efficient review process. Most fields are required, so each form must be submitted with the correct information for each creative.
Taking the time to complete the form properly will help avoid delays, reduce back-and-forth, and keep everything moving forward without unnecessary holdups.

Prior to Submitting Your Creative
Remember, by submitting a creative using our intake form, you attest to the following:
You have reviewed all pertinent information on the COMPLIANCE SITE, including but not limited to the relevant handbook pages provided and the linked CMS Regulations.
You have updated the creative in this submission to meet those requirements outlined on the COMPLIANCE SITE, OR you attest that it already meets those requirements.
If this is a resubmission, you attest that you have made all changes requested by the compliance team.
You attest that the creative being submitted is owned and operated by your company. (This means that you have created and manage all creatives and are not using any third-party traffic or creatives of any kind.) You also attest that you understand all third-party creatives that are submitted will be denied and will not be approved for use in any capacity.
Document Requirements
Word Documents Only
Word Documents are now the only acceptable document type
Document must have the following at the top:
- Standardized Material Identification or "SMID" (If you need us to provide one just put "TBD")
- Enrollment Period (Select one of the following AEP Only, Year Round, Rest of Year)
- URL Link(s) (Provide any URL links that this creative will lead to, if this is a website provide the URL as well, if it is a Click to Call put "N/A")
Naming Convention
To maintain consistent review and tracking: Partners must follow a naming convention for all submitted documents. All documents must be submitted with a unique name that the partners SHOULD NOT change during the review process.
Example: If a social ad is sent over to JM and was originally named Medicare_FB Ad1, as the partner makes changes to the creative, the partner SHOULD NOT RENAME the document and resubmit the updated copy using the same name Medicare_FB Ad1 on all updated versions (The system will automatically designate the Version number).
Intake Form
Make sure you are using the correct Juiced Compliance Review Intake Form for the department that applies to your creative submission (The title is at the top of the form). If you do not have the link to the Intake Form or are not sure if you have the correct link, please do not hesitate to reach out.
Email Validation
When you access the intake form for the first time, you will need to validate your email address. Please follow the prompts as indicated to enter a validation code.
NOTE: The email address that you use to validate will be the only email address that can be used to provide updated versions of the creative during the review process. If you need to change the email in the middle of the review process for any reason, please contact us first.
NEW Creative Submission
(A creative that has never been submitted to Ziflow before.)
Select "INITIAL Submission of a Creative(s)" ONLY
Ensure that the email address you use is the one you want to use for all submissions moving forward. This is also where you will get all notifications about your creative so please ensure it is spelled properly.
Please use your legal company name. Ensure that the company name stays the exact same throughout every submission.
Lifecycles:
**Please Note: The rules that your creative will be reviewed against are specific to this; please be accurate when selecting.** ONLY SELECT ONE OPTION
Annual Enrollment Period-Only or "AEP-Only": Ads that run from October 15th to December 7th.
Rest of Year: Ads that run from January 1st to September 30th.
Year Round: Ads that run both AEP content and Rest of Year content as variable content in brackets [] and can be run from October 15th to September 30th (submissions only accepted during AEP).
Creative Type:
**Please Note: The rules that your creative will be reviewed against are specific to this; please be accurate when selecting.**
Communications: Does not advertise specific benefits and only needs carrier review if it is a site that collects PII (Personally Identifiable Information) or is a online video/TV ad.
Marketing: Advertises specific benefits, requires carrier approval, and HPMS submission.
Customer Journey & Campaign Type
Customer Journey:
Please provide a detailed explanation of the Customer Journey - i.e, Customer clicks learn more, goes to my site, customer clicks to call, call is direct to JM.
Campaign Type:
Please indicate what type of campaign this creative is a part of.
URL/Associated Site
Creatives that lead to a website or landing page (AKA a "learn more" ad)
Please provide the URL of the website
Creatives that are solely click to call and do not lead to a website or landing page at all.
Put "N/A" (Please note that if you put "N/A" when it is not a click to call ad that it will delay your creative review)
Website submissions
Please provide the URL of the website
If this is a URL, what type of PTC does the site collect?
Website/landing page submission: If the site collects PII via a form please select the type of PTC the site collects.
If the site is solely a click to call and does not collect PII mark "Direct Inbound: Click to Call Site"
If this is not a website/landing page please mark "Not a URL"

Use this tool to upload your creative(s).
BULK SUBMISSIONS:
Please note when you submit a batch of documents, please ensure that all properties you indicate on the intake form are applicable to every document in that submission. These properties will be associated with all submitted documents. If any property does not apply to a document, the review process will likely take longer because we'll need to seek clarification and make corrections. No more than 10 documents at a time. Please also note that each creative should be on its own Word document, if there are multiple on one document it will result in a rejection.
"Drop files here": drag and drop one or more files at a time. (Note: you must drag and drop near the cloud icon inside the dotted box).
"Browse": opens up a folder and allows you to select one or more files at a time to upload.
WEBSITE SUBMISSIONS:
We are no longer accepting live view submissions of websites; ALL websites must be submitted as a written transcript on a Word document and include all wording and imagery that will be seen by the consumer. Drag and drop your document or browse to find your document instead.
Rejected Creative Submission
(A creative that was rejected previously due to non-compliance)
If a padlock icon appears next to the version number during submission, DO NOT upload as a new version to that project. This indicates the review is rejected and locked. You must submit the document as a new creative submission to initiate a fresh review. Locked creatives are not in the compliance review cycle, therefore, any uploads to locked projects will not be reviewed and will halt progress completely.
New Version Submission
(A new version of an existing creative in Ziflow that has not been previously rejected or approved)
First and most important, you MUST use the same email address that you used to submit the initial creative to submit a new version.
Click on "Create new version" ("Proof name" box is an optional search tool)
Select the creative you are updating by clicking on it.
All other fields, including email and Company, will usually populate automatically. Changes made to the auto populated fields in the intake form will unfortunately not be shown in Ziflow, if something needs changed please leave a comment on the creative after resubmission.
Drop in the updated version of the Creative
Attestation should be marked "Yes", then click "Submit"
Resubmission Steps:
You must make ALL requested changes to your creative before resubmitting for review.
If you have any questions or concerns about the feedback that you received, reach out through the Comments section on the creative review ticket in the system.
Compliance will only review each creative a maximum of 3 times. 1 initial review and 2 new versions. If by the 3rd review the creative is still not meeting requirements, Compliance will reject the creative as non-compliant.
After Submission
Link to Creative:
The link to your creative review will be emailed to the email you used for submission SAVE THAT LINK it will be the way that you communicate with the compliance team and how you will check on the status of your submission. Partners are encouraged to leave comments on the creative as questions arise and to reply to comments that they do not understand. Seeking clarification on review comments before submitting a new version is very important as there are only 3 reviews for each creative submission.
Decision Emails:
JM compliance will update the creative decision after each review.
Changes Required: JM compliance has provided feedback (comments on the creative review dashboard)
Creative Approved: JM compliance has determined the creative meets requirements and is approved.
Creative Rejected: May be used at the discretion of JM compliance at any point in the review process or automatically when partners do not follow the process as outlined on the Intake Form Guide.
Frequently Asked Questions
Why did you add JM to the SMID?
Per CMS regulations, an SMID can only be submitted once to HPMS. To enable Juiced to submit the content, we will append "_JM" into the SMID.
